What I collect
When you contact me. Your name, email address, phone or WhatsApp number if you give one, and whatever you choose to tell me about your situation. On some forms this also includes what your enquiry is about, how urgent it is, whether you would like an NDA, and how you would describe yourself or your organisation.
When you buy a guide or book a session. Your name, email address, billing details and the record of what you bought. Payment is by invoice and bank transfer, so the information I hold is the invoice, your billing details and the record of payment. I do not take or store card details.
When you work with me. Whatever is relevant to the work, which may include correspondence, documents you send, links, screenshots, media coverage and notes I make.
When you subscribe to the newsletter. Your email address, and whether you have opened or clicked.
When you visit the site. Standard technical information such as IP address, browser type, pages visited and referring site, collected through cookies and analytics.
Sensitive information
People often contact me at a difficult moment and share sensitive details, sometimes including information about health, legal proceedings, allegations or their private life.
You do not have to tell me anything you are not comfortable putting in writing. If you would rather talk before sending details, say so and we will arrange a call. If you would prefer a non-disclosure agreement before any discussion, ask and I will arrange one.
Where I do hold sensitive information, I keep it to what is necessary for the work, I do not share it beyond what is described below, and I delete it in line with the retention periods set out here.
Why I use it, and my legal basis

To provide the services you have asked for. Legal basis: performance of a contract.
To invoice you and keep accounting records. Legal basis: contract, and legal obligation.
To send the newsletter, if you have signed up. Legal basis: consent, which you can withdraw at any time.
To keep the site working, secure and reasonably useful. Legal basis: legitimate interests.
To comply with legal and regulatory obligations. Legal basis: legal obligation.
Where the information is sensitive, I rely on your explicit consent, or on the establishment, exercise or defence of legal claims, as applicable.
Who I share it with
I do not sell your information, and I do not share it for anyone else's marketing.
I use these service providers, who process information on my behalf under contract:
Squarespace, for hosting the websites, forms, shop, email and the newsletter
Zoom, for advisory sessions
Google, for analytics and business tools
My bank and accounting software, for invoicing and financial records
I may also share information with professional advisers such as lawyers or accountants where necessary, or with authorities where I am required to by law.
If your work involves other advisers, such as your own lawyer, agent or publicist, I will only share information with them where you have asked me to or agreed to it.
Where your information is held
Some of these providers are based outside the UK, including in the United States. Where information is transferred outside the UK, it is protected by appropriate safeguards, such as UK approved standard contractual clauses or an adequacy decision.
How long I keep it
Enquiries that do not become work: up to 12 months, then deleted.
Client records: for the duration of the work and 6 years afterwards, which covers the period in which a legal claim could be brought.
Financial records: 6 years, as required for tax purposes.
Newsletter subscribers: until you unsubscribe.
Website analytics: 26 months.
If you would like something deleted sooner, ask and I will do so unless I am required to keep it.
Cookies
The sites use cookies that are necessary for them to work, including for the shop and checkout, and analytics cookies that help me understand how the sites are used. You can control cookies through your browser settings, and through the cookie banner where one is shown.
Your rights
Under UK data protection law you can ask me to:
give you a copy of the information I hold about you
correct anything that is wrong
delete information, where there is no good reason for me to keep it
restrict or object to how I use it
transfer it to someone else, in a portable format
stop sending you marketing, at any time
To exercise any of these, email info@honestlondon.co.uk. I will respond within one month.
If you are unhappy with how I have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. I would rather you came to me first so I can put it right.
